Presentations: 2 Minute Training #4: Bring Nametag Cards To The Presentation
You know your presentation backwards and forwards. You practiced and tested. The team that will be receiving your presentation knows the names and faces of your entire team (well, maybe not), but let me ask you this: Do you and the members of your team know who your attendees are, and what their names are?
You may know some of their names, all of the time. You may know all of their names, some of the time. But you will never know all of their names, all of the time.
Avoid the embarrassment of mispronunciation by planning ahead. If there are big bucks on the line— and let’s face it, if you are presenting to a room of people, there must be some pretty serious money on the table— take the little bit of time and effort if would take to make a set of nametags for the people you are presenting to.
BEST PRACTICES:
The best practice here is to create a nametag which is a good size. What do we mean by that? You will be presenting from 3-20 feet away from these nametags. The nametags need to be large enough to be seen at that distance. Names will need to be largely written, and wide enough that you can fit some longer names like “Wolfgang L. WeinerschnitzelHauser” and still be read.
Obviously, a sticker will not do. We suggest an 8-1/2 x 11 sheet of Card Stock folded on the long size. This creates and easy to read “Table Tent” like an upside down ‘V’ that only needs to be printed on one side. You won’t have to worry about forgetting a name if someone takes a jacket or blazer off, and people have always (in our experience) been very respectful of keeping the tags in front of them and on the table.
Lay your table tent design in a piece of software that is easily editable (like adobe illustrator or adobe indesign), and type the expected attendees names on the nametag with a large, clear font, like arial or univers. How will you get these names? Why, by asking of course! Call up, and ask how many people will be attending the presentation, and what their names will be. Ask if they could email that list to you. It might also be good to find out what their titles are. If you have specific leading questions you want to bring up, asking them to the right person will help your case, and make you look smarter and more prepared.
Use the nametags as a brief opener and introduction: Hand them out one at a time and try to equate a face with a name. Don’t expect everyone to come who said they would. Don’t expect only those people to show. Again, best practices— bring 5-10 BLANK nametag cards with you. If you need them, fill them out before you start your presentation, and if you don’t need them, save them for next time.
Make these cards specific to your business, but more specific to your presentation. What information do you have on the side of the nametag that you can’t see during the presentation? Whatever it is, it better relate to the audience, because they’re going to see it during your whole presentation. Tyler Dockery of Dockery Design suggests that you add materials about each section of your presentation, or perhaps what the attendee wants to get out of your presentation. These visual cues will help them to remember when they need to pay extra attention, or take better notes.
ADDED BONUS:
When creating your nametag cards for your presentation, make sure to heavily brand them. Sure, make lots of room for your attendees names, and possibly job description, but also make sure you have a nice, big logo on the front with your tagline. Make sure the back part (the part the attendee can see) also has a nice big logo, and all your contact information on it. When the presentation is over, make sure to leave the nametags where they are, and encourage the attendees to keep them for any other presentations they may be having, or if they think of a question later they’d like to follow up with in an email or phone call.
Honestly, most presenters aren’t savvy enough to bring nametags, so you’ll already be standing out. If they keep the nametags, its like a gigantic business card. But best of all, if they have another presentation that day, and the nametags stay, the next couple of presenters will have to stare at your branded materials staring them in the face during their presentation. They’ll think they should have done the nametags themselves, and that eroded confidence might just give your presentation the edge you’ll need to win that account.
